Joining a local sporting club committee is a great way to give back to the community, support players and volunteers, and help shape the future of the club. Committee members have the opportunity to contribute their skills, ideas and experience while building new friendships and developing valuable leadership and teamwork skills.
You don’t need to have any formal experience in business or on a committee. If you have ever coordinated a holiday, tracked your own spending, planned a birthday party, played DJ at a friend’s house, or wrangled kids in the morning to make it to school on time… there is something you can contribute! If you are proactive and have a passion for the sport of figure skating, then we’d love to have you on board.

Each Committee Member is required to attend meetings that are held a minimum of 4 times a year. Typically the Committee will convene one meeting per month. Upcoming events and competitions may necessitate more discussion and alternatively a quiet period may reduce the need for the committee to call meetings as frequently.
We understand everyone is busy, so meetings are usually convened online via video conference at a day and time chosen by the committee members.

Committee members are expected to assist in the planning and running of the club competitions and events as well as fulfilling the duties of their appointed role.

Position: President
Reports to: Club Members

The President provides leadership and direction to the club and its committee, ensuring the club operates effectively, maintains a positive culture and works towards its strategic goals. The President acts as a key representative of the club and supports the committee to make decisions that are in the best interests of members and the wider community.
Key Responsibilities
Provide strong and positive leadership to the club and committee.
Chair committee meetings and ensure meetings are conducted fairly and effectively.
Work with the committee to establish priorities, goals and plans for the club.
Encourage participation, teamwork and open communication among committee members and volunteers.
Represent the club at meetings, functions and events with sporting associations, councils and other community organisations.
Support the development of a welcoming, inclusive and respectful club culture.
Ensure the committee understands and fulfils its governance and legal responsibilities.
Assist with resolving issues or conflicts in a fair and constructive manner.
Support coaches, volunteers, players and members where appropriate.
Work with other committee members to ensure the club's facilities, finances, programs and activities are managed effectively.
Promote the club within the local community and encourage new members and volunteers.
Ensure appropriate policies, procedures and risk-management practices are in place and followed.
Work with the Secretary and Treasurer to ensure important club matters are properly recorded and managed.
Provide continuity, guidance and support to the incoming President and committee.

Position: Secretary
Reports to: Club President and Committee
Works with: Committee members, members, coaches, volunteers, sporting associations, local council and other stakeholdersPosition Purpose
The Secretary is responsible for supporting the effective administration and governance of the club. The Secretary ensures that committee decisions, meetings, correspondence, records and important club information are properly managed and communicated. The Secretary works closely with the President and other committee members to ensure the club meets its obligations under its constitution, relevant legislation and sporting-body requirements.
Key Responsibilities
Committee and Meetings
Prepare agendas in consultation with the President and committee.
Provide notice of committee and general meetings in accordance with the club's rules.
Attend and take accurate minutes of committee and general meetings.
Record decisions and actions arising from meetings and follow up outstanding actions.
Distribute minutes to committee members within an appropriate timeframe.
Maintain a calendar of important club meetings, events and governance deadlines.
Assist with preparing and coordinating the Annual General Meeting.
Administration and Records
Maintain the club's official records, correspondence and governance documents.
Maintain an organised electronic and/or physical filing system.
Manage incoming and outgoing correspondence on behalf of the club.
Maintain current contact details for committee members and relevant organisations.
Ensure important club documents are accessible to authorised committee members.
Maintain appropriate records of policies, procedures, meeting minutes and committee decisions.
Governance and Compliance
Support the committee to understand and meet its governance responsibilities.
Ensure required information is lodged with Consumer Affairs Victoria.
Assist with maintaining the club's details on the Consumer Affairs Victoria system.
Ensure the club's constitution, policies and procedures are followed.
Keep the committee informed of important governance deadlines and requirements.
Maintain confidentiality when dealing with sensitive club information.
Ensure conflicts of interest and other governance matters are appropriately recorded and referred to the committee.
Communication
Act as a central point of contact for club correspondence.
Communicate committee decisions and information to members and stakeholders as authorised.
Liaise with the relevant state or national sporting organisation where required.
Liaise with council, facility managers and other community organisations on behalf of the club.
Ensure communications are professional, timely and consistent with committee decisions.
Club Support
Work collaboratively with the President, Treasurer and other committee members.
Assist with membership administration where required.
Support grant applications, registrations, permits and other administrative processes where appropriate.
Assist with the preparation of reports for committee and general meetings.
Help ensure there is a smooth handover of records and information to future committee members.

The workload may increase around registration periods, competitions, grants, major events and the AGM.

As a committee member and office holder, the Secretary should act with care and diligence, in good faith and in the best interests of the club.

Position: Treasurer

The Treasurer is responsible for overseeing the financial management of the club and providing the committee with accurate, timely and understandable financial information. The Treasurer ensures club funds are managed responsibly, financial records are maintained appropriately and the club meets its financial and reporting obligations.
The Treasurer supports the committee to make financially responsible decisions that promote the club's sustainability and best interests.
Key Responsibilities
Financial Management
Maintain oversight of the club's financial position and cash flow.
Ensure all income and expenditure is accurately recorded.
Monitor the club's bank accounts and financial transactions.
Ensure payments and expenses are properly authorised in accordance with the club's rules and financial procedures.
Ensure invoices, receipts, bills, bank statements and other financial records are retained.
Reconcile bank accounts regularly.
Monitor outstanding payments and amounts owed to the club.
Ensure club funds are deposited promptly and securely.
Maintain appropriate financial controls to protect the club's assets.
Budgeting and Financial Planning
Prepare an annual budget in consultation with the committee.
Monitor actual income and expenditure against the approved budget.
Identify significant variations and bring them to the committee's attention.
Provide financial advice to the committee when considering projects, purchases, fees or other significant expenditure.
Assist the committee with long-term financial planning and sustainability.
Monitor the club's ability to meet current and future financial commitments.
Financial Reporting
Prepare regular financial reports for committee meetings.
Provide the committee with an up-to-date summary of income, expenditure, assets, liabilities and cash position.
Explain significant financial variations or issues to the committee.

The Treasurer should:

The Treasurer is an important part of the committee but will not be expected to make major financial decisions alone. Financial governance is a committee responsibility, with the Treasurer providing financial oversight, information and advice.

Formal accounting qualifications are not necessarily required for a small local sporting club, provided you have the skills and capacity to perform the role and can obtain appropriate professional assistance when required.
Time Commitment
The role generally requires attendance at regular committee meetings, preparation of financial reports, monitoring of transactions and payments, bank reconciliations and other financial administration throughout the year. Additional time may be required around the end of the financial year, AGM, grant applications, major fundraising activities and periods of high club expenditure.

Position: Competition Convenor
Reports to: Club President and Committee
Works with: Coaches, skaters, officials, volunteers, competition and event organisers, facility managers and the relevant sporting association (ISA and ISV)Position Purpose
The Competition Convenor is responsible for the effective organisation and coordination of club competitions, events and ISV test sessions. The role ensures participants are appropriately entered, fixtures and venues are communicated, game-day requirements are coordinated, and competition rules and requirements are understood and followed.
The Competition Convenor acts as the key link between the club, its teams and the relevant competition organiser or governing body.
Key Responsibilities
Event Administration
Coordinate entries and confirm participant eligibility requirements are met.
Maintain an up-to-date record of participants, divisions and event requirements.
Obtain and distribute event fixtures, draws and schedules.
Monitor fixture changes and cancellations.
Communicate relevant event information promptly to coaches, participants and committee members.
Maintain a central event calendar for the club.
Fixtures and Venues
Liaise with rink management regarding facility availability.
Ensure participants are aware of venue access arrangements, opening times and relevant facility requirements.
Event-Day Coordination
Ensure all parties understand their event responsibilities.
Coordinate officials where this falls within the club's responsibility.
Ensure appropriate equipment is available.
Coordinate event volunteers where required.
Monitor issues arising during events and escalate significant matters to the appropriate committee member.
Assist with managing event disruptions in accordance with rules and club procedures.
Competition Rules and Compliance
Maintain an understanding of the relevant competition or event rules, regulations and procedures.
Ensure coaches and players are aware of important competition requirements.
Monitor participant eligibility, registrations and other requirements where applicable.
Ensure participant lists, scores, results and other required information are submitted correctly and on time.
Communication
Act as the main competition/event contact for the club.

The role generally requires additional activity around the beginning of the season, competition and event registration and testing, and fixture release. The Convenor should be available to respond to significant fixture, venue or event issues during the season.
The workload may increase during fixture disruption and club events, competitions and test sessions.
Authority and Decision-Making
The Competition Convenor is authorised to manage routine competition administration within the policies and procedures approved by the committee.
Significant matters should be referred to the President or committee, including:
Disputes with participants or coaches.

Complaints involving player, coach, parent or official conduct.

The General Committee Member contributes to the effective governance, management and development of the club. The role involves participating in committee decision-making, supporting club activities and initiatives, representing the interests of members and helping create a positive, inclusive and sustainable sporting environment.
General Committee Members share responsibility with the wider committee for ensuring the club operates in accordance with its constitution, policies, legal obligations and the best interests of its members.

No particular professional qualification is generally required. A committee is often stronger when its members bring a range of skills and experience, such as sport, administration, finance, marketing, fundraising, coaching, community engagement, legal knowledge, governance or event management.
Time Commitment
The role generally requires attendance at regular committee meetings, participation in committee activities and involvement in selected club events or projects throughout the year.
The expected commitment should be agreed with the committee and should be realistic for a volunteer. Specific projects or portfolios may require additional time during particular periods of the season.

At the AGM held each year (usually May), all positions are declared vacant and a new committee is elected. Members will be asked to submit nominations for members to fill these roles prior to the meeting.
Throughout the year positions may become vacant if committee members resign and these will need to be filled, so you may nominate at any time.
